Program Policies & Practices

Program fees are stated on the registration page for each program.
To meet needs for inclusion, security, and predictability, refunds are given when requested at least seven days before the start of a course. Requests received within seven days of the start date, or after program access has begun for self-paced programs, are not eligible for a refund. To request a refund or cancel a registration, email ava@mcdtherapy.com.
MCD Therapy, LLC reserves the right to cancel live trainings 10 days prior to the first day of the scheduled training if it does not meet its minimum attendance requirement. A full refund will be provided should this occur.
MCD Therapy, LLC also reserves the right to cancel and reschedule any live training session if something occurs that is beyond our ability to control. This includes, but is not limited to, severe weather, regional disaster, pandemic, sudden illness, or family emergency for the scheduled trainer.
When a live training is rescheduled, registration transfers automatically to the new date. Participants who are unable to attend the new date may request a full refund to their original method of payment.

Each request is reviewed promptly, and together we'll explore reasonable and doable ways for you to engage fully in the training experience.

MCD Therapy, LLC develops its training materials with care, drawing on years of clinical practice and teaching. These guidelines protect that work while supporting participants in bringing what they learn into their practice.
Presentations and Recordings: Slide presentations, videos, and other program materials are proprietary to MCD Therapy, LLC and may not be reproduced, shared, or distributed. Participants may not record live sessions in any format, which protects both the materials and the privacy of fellow participants who share during experiential exercises. Login credentials and personal join links are for the registered participant only.
Workbooks and Client Handouts: All workbook materials are © MCD Therapy, LLC and are designed for professional continuing education. Therapists may reproduce the pages designated as client handouts for psychoeducational or clinical use, with attribution to MCD Therapy. Workbooks and their exercises may not be altered, sold, or distributed beyond authorized trainings or individual client use.
Citation: Participants are welcome to reference MCDT concepts in professional writing, presentations, and consultation, with attribution to Mindful Compassionate Dialogue Therapy and MCD Therapy, LLC.

MCD Therapy, LLC invites every participant to evaluate each continuing education program. Participant feedback shapes how programs grow, and each evaluation is read with care.
Completion and Certificates: Completing the evaluation is required to receive a certificate of completion. Participants have seven days from the end of the program to complete it.
Live Online Programs: Participants complete the evaluation through an online form. The link is shared in the Zoom chat during the program's closing minutes, is presented to participants through Zoom's post-meeting survey when the meeting ends, and is emailed to all registrants the following day.
In-Person Programs: Participants complete a printed evaluation at the close of the program and return it to the program administrator before leaving. Participants who need more time may return it by email within seven days.

Each participant who completes a program receives a certificate of completion as a record of their learning. Certificates are issued within seven days after the evaluation window closes, once attendance and the program evaluation have both been confirmed, and are emailed as a PDF to the address the participant used to register.
Each certificate includes the name and contact information of MCD Therapy, LLC; the program title and date; the participant's name; the number of hours earned, based on verified attendance; and the name, title, and signature of the program administrator.

MCD Therapy, LLC verifies attendance for every live program so that each certificate of completion reflects the time a participant was present. Hours are calculated from content time, where one hour equals 60 minutes. Scheduled breaks are not included.
Credit for Partial Attendance: Participants who attend the full program receive the full hours offered. Participants who arrive late, leave early, or step away for part of the program receive credit for their verified attendance, calculated in quarter-hour increments and rounded up to the nearest quarter hour. For example, a participant verified as present for 1 hour and 40 minutes of a 2-hour program receives 1.75 hours. Participants experiencing technical difficulties are encouraged to rejoin as soon as possible, and all verified time is counted.
Live Online Programs: Registration is required for all live online programs. Before each program, MCD Therapy, LLC registers each participant in Zoom, and each participant receives a unique Zoom join link by email connected to their name and email address, so attendance can be matched to the program roster. Attendance is verified through Zoom's usage report, which records each participant's join and leave times and total minutes present. When a participant disconnects and rejoins, all recorded sessions are combined.
In-Person Programs: Participants sign in on arrival and sign out on departure, recording the time of each, including any departure and return during the program. The program administrator observes and initials each entry to confirm its accuracy.

MCD Therapy, LLC protects client confidentiality in every program. Case examples shared by presenters are composites drawn from clinical experience, with names and identifying details changed, so no client can be recognized. When an actual client's story is used, it is shared only with that client's written informed consent.
Participants are invited to bring their clinical work into discussion and practice, and are asked to do the same: describe cases without names or details that could identify a client, and share only what their own professional ethics and consent agreements allow.
Experiential exercises often invite participants to draw on their own lives and relationships. What a fellow participant shares in that space stays there. Participants are asked to hold one another's experiences in confidence and to share only what feels right for them, and choosing to observe or step back from any exercise is always welcome.

MCD Therapy, LLC makes every reasonable effort to protect participant privacy. We never sell participant information. We share personal information only when required by governmental or law enforcement agencies.
Participant records are stored in access-controlled electronic systems or locked physical files and are accessible only to the program administrator. Payments are processed through a third-party payment processor, and MCD Therapy, LLC does not receive, retain, or store participant credit card information.
If a participant's image, voice, or name would appear in a recorded program, we obtain their written consent before it is used.

MCD Therapy, LLC keeps complete and accurate records for every continuing education program for at least five years. These records include:
Program content description
Participant roster
Program agenda and materials distributed to participants, including learning objectives
Presenter list, with each presenter's qualifications and a description of what each presented
Participant evaluations
Promotional materials
Certificates of completion
Records are stored securely, either electronically or in locked physical files, and are accessible only to Program Administrator Electronic records are stored in a secure, password-protected cloud system with two-step verification, which maintains redundant backup copies. After five years, student records are safely destroyed to protect participant privacy.

MCD Therapy, LLC takes the privacy and protection of participant information seriously. In the event of a confidentiality or data breach, we will:
Promptly investigate the incident to determine its scope and source of the breach.
Notify affected individuals as soon as possible, explaining what information may have been involved and any steps they can take to protect themselves.
Take corrective action to prevent future breaches, including updating security measures or procedures as needed.
Document the incident and its resolution, and keep that record with program records for at least five years.
Our goal is to respond to any breach with transparency, accountability, and care for the people we serve.

Participants may share a complaint or concern about any MCD Therapy, LLC program by emailing ava@mcdtherapy.com. The program administrator acknowledges each concern within five business days, reviews it with care, and provides a written response within 30 days.
Each complaint is reviewed to determine whether corrective action is needed. When a complaint identifies a needed change to program content, delivery, or administration, that change is documented and carried into future offerings. Records of each complaint and its resolution are kept for at least five years.
